How LetterForge writes a reply you can send

Everything on this page serves one job: when a candidate writes, a good answer is waiting in your mail app a few seconds later.

In the app

From the question to the sent email

A candidate asks about the salary, the notice period or the next interview. Click “Draft reply” and LetterForge writes from everything it knows about the person.

Smart Reply reads the latest message and the conversation before it, works out what the candidate wants to know and answers that. You see a short summary next to the draft.

  • Salary question → answer with the band from the vacancy
  • No reply for a week → reminder and follow-up
  • Client says no → a fair rejection
  • Interview to arrange → one clear email with times

A board for each vacancy

Every vacancy has its own board: New / Contacted, Presented to client, Interview, Offer. Move candidates along and you see who is waiting for you.

Smart Reply

A reply that knows the conversation

LetterForge reads your whole email history with the candidate before it writes. You don’t paste anything into a chat window.

Your data stays with you

LetterForge reads the thread on your computer and never asks for your mail password. Only when a draft is written does the text it needs go, encrypted, to the AI service, without signatures, phone numbers and postal addresses. Our server doesn’t keep it.

STORED ON YOUR COMPUTER

  • On your computer
  • No mail password
  • Encrypted transfer
  • Not kept on our server

Sent from your own mail app

Classic Outlook, Apple Mail or Thunderbird. Emails leave from your address, so candidates see a name they know.

Mail app connected

LetterForge reads the thread, writes the draft and hands it to your mail app. You send it from your address.

  • Outlook
  • Apple Mail
  • Thunderbird

The candidate asks, LetterForge writes the reply, you send it.

In detail

What the app does for you

You keep working in your mail app. This is what LetterForge adds between the first email and the signed contract.

Replies

Replies from the whole thread

LetterForge reads the conversation with the candidate and writes a reply that picks up where you left off. You choose the tone, the greeting and the length.

  • A draft with one click, and with Solo or Team by itself as soon as a candidate replies
  • Shorter, friendlier or with a meeting suggestion: one click each
  • You read and change everything before it goes out
Mail apps

Works with your mail app

LetterForge reads the conversation on your computer and hands the finished email to your mail app. It notices when the email has gone out and notes it on the candidate.

  • Apple Mail on the Mac
  • Classic Outlook on Windows, Microsoft 365 accounts included
  • Thunderbird on Mac and Windows
  • New Outlook and Outlook on the web: not yet, use classic Outlook
  • Gmail and Google Workspace: add the account to Apple Mail, classic Outlook or Thunderbird
Context

What the draft knows

The more LetterForge knows, the less you rewrite. A draft can use the vacancy with role, salary and location, the CV, your notes and what the client said.

  • The CV as PDF or Word, read on your computer
  • Contact details and date of birth from the CV stay out of the request
  • Notes only when you allow them for letters, plus the summary of your last call
  • The client’s feedback after you presented the candidate
Everyday emails

The emails nobody likes writing

A salary question at five to five, a rejection after the client said no, a polite nudge after a week of silence. LetterForge writes the first version, and you decide what goes out.

  • Salary questions answered with the band from the vacancy
  • Rejections that are clear and kind
  • Follow-ups that refer to the last email instead of a template
Overview

Vacancies, boards and reminders

Each vacancy gets a board with columns from first contact to offer. The Today page shows who has replied and who you should chase.

  • A board for each vacancy, with your own columns
  • “New reply” on the card as soon as a candidate writes back
  • A reminder after 1, 3 or 7 days if nobody answers
Scheduling

Interview times

Save your scheduling link from Calendly, Microsoft Bookings or similar. “Offer a meeting” puts it into the email, and the candidate picks a time.

  • Your scheduling link right in the draft
  • Place, time or video link added to the email in one step
